Favorite programs for Content Writers and Virtual Assistants

When I sit down to work, there’s a few programs we use nearly every single day. These programs and softwares help us take care of all our clients and their needs as content writers. For most clients, we’re writing and optimizing blogs, managing and optimizing their Pinterest accounts, and preparing emails for their newsletter lists. We thought it might be helpful to round up some of our favorite programs for content writers and VAs to share with you! 

Favorite programs for Content Writers and Virtual Assistants

17Hats

I (Kristina) love using 17Hats as my client management software (CRM). There’s so many great programs out there, but I’ve been using this one since I was a photographer. I just carried it with me into my new business four years ago and I’m comfortable using it. I can send out my contracts, addendums, and I used to invoice with it, too (now I use Quickbooks for that!). It has workflows if you need that for your business – I don’t use them too much. Flodesk

Each month, I send a monthly email to my clients to let them know what’s going on in the business that month. I’ll elaborate on that in another post sometime…. But I LOVE using Flodesk for these emails (and for my email marketing). It’s a beautiful system that’s easy to use and super functional. I’m all about anything that’s streamlined and straightforward. The pricing isn’t bad either – and I can build my list as much as I want without ever having to pay more for it. Definitely another perk! 

Trello

All of our clients build their blog schedule on Trello. Trello is really user friendly, easy to update, and houses notifications and schedules in one place. It makes it easy for our entire team to find what we need to do our work. We also love that we can have one template to simply duplicate and share with each client, which means onboarding new clients is a breeze! 

Tailwind

The other program we use regularly is Tailwind. Our team uses this software to schedule out Pinterest posts for our clients. It’s easy to see the schedule and to edit the pins so that everything is optimized for each account. With a browser extension, we can easily re-pin content from clients’ sites and find curated content to fill their feed. We love Tailwind here! 

Aside from Quickbooks for my accounting, these are the most used programs in the business. The rest of the time, we’re using our beloved paper planners and colored pens to write out our to-do lists and weekly plan-of-action!

No matter what systems you use, make sure you use what works best for YOU and your clients (and your team). There’s so many incredible options out there!
